About Miles Ahead Charter School
Miles Ahead Charter School is a tuition-free, public charter school authorized by the State Charter Schools Commission (SCSC) of Georgia serving grades K-4 in the 2023 – 2024 academic year. As an SCSC authorized school located in Austell, Miles Ahead operates as a Local Educational Authority (LEA) and has a statewide attendance zone. Miles Ahead is committed to providing an educational opportunity students may not have been afforded outside of their local options.
Mission of Miles Ahead Charter School
Miles Ahead Charter School (MACS) is an authorized tuition-free, public K-8 school (we will add a grade each year until we reach 8th grade) focused on student growth and academic achievement through a whole child approach to education. Our mission is to provide all students with the social and academic skills necessary to help them realize their potential for local impact and global change within a 21st century learning environment. Therefore, our vision is to prepare scholars to be knowledgeable, responsible individuals ensuring we live in a compassionate, digital society.
Overview of Position
Reports to the Director of Operations. The School Operations Associate is a school-based role that supports operations functions necessary to run a high-performing school. The position serves as a key member of the campus’ operations team, ensures that the campus’ operations meet high standards of operational excellence consistently, and oversees the management of the front office.
PRIMARY RESPONSIBILITIES
30% – Office/Visitor Management & Staff Support
- In partnership with the Director of Operations, oversee the front office with professionalism and create a safe, warm, and welcoming environment
- Treat each visitor with respect and handle their request with expertise and urgency; own each issue until it is solved
- Answer phone and messages in a timely and efficient way and manage mailings
- Ensure that all parent facing materials & routine documents are replenished
- Ensure that office is clean, organized, and functional
- Ensure that all visitors are greeted and documented (sign in, ensure scholars leave with authorized guardians, control access to school)
- Maintains staff ordering systems; fulfills teacher order request, manages tickets
- Ensures teacher workroom, breakrooms, & SWAG Shop is organized & replenished with supplies
30% – Scholar Information and Records
- Manage systems to acquire and maintain up-to-date scholar information in online and paper scholar record systems
- Is able to process and direct scholar information and data across school systems to reduce customer effort and ease of use
- Ensure all scholar records are updated with annual attendance, grading, and testing reports
- Coordinate distribution of progress reports and report cards
- Manage the collection of new scholar registration paperwork with accuracy and dependability
- In partnership with the school enrollment team, lead campus scholar recruitment and retention activities and elicit leader and staff involvement in meeting recruitment and retention goals
- Coordinate the transfer of scholar school records with other schools, including managing all records requests
- Ensure the recording of daily attendance in scholar information systems
15% – Parent & Community Communication
- As the first impression of Miles Ahead Charter School give every visitor, family, and scholar an outstanding experience in regular interactions
- Work closely with the school leadership team to create and maintain effective communication strategies with families
- Manage all parent outreach initiatives (calendar changes, school events)
- Coordinate a weekly newsletter (both staff & family) with staff contributions, announcements and important dates
- Maintain parent volunteers (background checks, volunteer project calendar)
- Assist Director of Operations with Family campus tours
20% – Scholar & Family Services (Food Service; School Ops; Field Trips/Events)
- Coordinate breakfast, lunch, and snack ordering and distribution
- Maintain inventory of school uniforms and assist scholars with uniform issues
- Fulfill all data requests related to SchoolMint/Infinite Campus, testing, etc.
- Assist with survey administration
- Coordinate scholar field trips
- Assist with school-wide and community based event planning
5% – Transportation
- Coordinate all daily transportation requests, working closely with transportation vendors and families with best-in-class customer service

- Bilingual *preferred* (English/Spanish)
- Strong project and time management skills; ability to effectively backwards plan, juggle multiple priorities with great attention to detail, and deliver consistent and timely results
- Strong strategic and analytical skills with an aptitude for shifting from fire-fighting to systems-building
- Strong customer service mindset
- Experience with social media, marketing, and/or website design
- Team player with strong interpersonal and stakeholder management and relationship building skills
- Ability to lead, influence, and hold others accountable to upholding high standards of excellence
- Ability to be calm under pressure, especially in difficult conversations with parents and staff
- Excellent organizational, verbal, and written communication skills
- Excellent computer skills, including Microsoft Word, Microsoft Excel, Google Docs and Google Sheets
- Desire to continuously learn and increase effectiveness as a professional
- Willing to stay on assigned days for late pick up
