Description
Georgia Charter Schools Association (“GCSA”) supports, fosters and advocate for the development of high-quality public charter schools and networks that improve opportunities for Georgia students. GCSA is seeking a Business Manager/Executive Assistant to support the Chief Executive Officer (“CEO”) and manage all day-to-day financial transactions or the organization. This individual will also serve as a human resources liaison between staff and GCSA’s professional employer organization (“PEO”), manage grant reporting deadlines and access to all subscription accounts across GCSA, and serve as the Secretary to the Board of Directors. The Business Manager/Executive Assistant plays a critical role in ensuring the fiscal health of the organization and a high-quality experience for its members, clients as well as staff members. The Business Manager/Executive Assistant will directly support and report to the Chief Financial Officer (“CFO”). More specially, the Business Manager/Executive Assistant will be responsible for the following:
Chief Executive Support:
- Track reporting deadlines and milestones for all organization-wide grants
- Manage access to subscriptions and shared GCSA accounts (log-in information, passwords, billing, etc.)
- Manage GCSA’s vendor and fee-for-service contracts
- Serve as the Secretary of the Board of Directors (e.g. attend all committee meetings and take minutes)
- Plan for and order lunches for in-person meetings
Bookkeeping / Accounting Clerk:
- Record transactions within QuickBooks and Ramp
- Code all transactions based on established chart of accounts
- Retrieve and organize mail from PO Box and GCSA office
- Generate invoices upon request from internal team members
- Manage the payment of bills per GCSA financial policies within online payment platform
- Maintain back-up documentation within QuickBooks and/or Ramp
- Generate monthly reports, statements, and follow-up with clients with outstanding accounts receivable
- Complete monthly close-out process including bank reconciliation
- Maintain up to date W9s for active independent contractors
- Additional financial transactional duties as needed per GCSA financial policies and procedures
General Management – HR, Property & Office
- Provide transactional HR support via the PEO, connecting internal team members with PEO resources
- Perform property management responsibilities (primarily sending monthly invoices, paying vendors, and coordinating vendors for routine maintenance, etc.) for GCSA LLC
- Serve as Board secretary, compiling meeting packets prior to and taking meeting minutes during quarterly Board meetings
- Answer office phone at Lenox Road office (primarily remotely) and maintain records
- Order lunches for meetings on as-needed basis
- Serve as primary contact with building management at Lenox Road office
GCSA is a lean organization and, as such, other duties may be assigned to the Business Manager/Executive Assistant as the business need arises. An ideal candidate will possess the following qualifications:
- At least two years of accounting or bookkeeping experience
- Strong project management and organizational skills
- Extreme attention to detail and ability to “sweat the small stuff”
- Ability to follow carry out established processes and procedures, and identify areas for process improvement to increase organizational efficiency
- Excellent written and oral communication skills
- Demonstrated proficiency in Excel
- Experience in QuickBooks or similar accounting platform
- Experience in Ramp or alternative bill payment platform
This is a full-time, benefits-eligible position with an ideal start date in February 2025. While the role is primarily remote, the Business Manager/Executive Assistant must reside in the state of Georgia as he/she will be periodically required to attend in-person meetings and/or events in the metro Atlanta area. The salary range for this role is $65,000 – $75,000 annually.
